Brief review of how to enter and update POA Goals in the GCCPlanning tool.

Before You Start

ONLY credentialed users designated by their manager can enter POA Goals into GCCPlanning. And ONLY the person who entered a POA Goal (the goal owner) can update that POA Goal.

Steps 

Entering POA Goals

Once you have determined your POA Goals and Goal Statements, you are ready to enter them into the GCCPlanning Tool.

  1. Log on to GCCPlanning
  2. From the GCCPlanning landing page, you enter a new POA Goal by either clicking directly on the "POA Goals" menu item or hovering over it so see its dropdown menu and from there click on "Enter POA Goals".

  1. Proceed to fill in POA Goals form fields as shown in the following steps.

  • Use dropdown to select desired Academic Year (e.g., 2024/2025, 2023/2024, etc.)
  1. Division (Required) *

Select one of the dropdown hoices:

  • Office of the President
  • Academic Affairs
  • Information Technology Services/ITS
  • Developmental/Admissions/External Affairs
  • Finance and Operations
  • Student Affairs

Note: Clicking on a Division results in a prompt to select your unit/office from the list of units under that Division. 

  1. Unit/Office (Required) *

  • Click the dropdown and select your unit/office.

  1. Strategic Priority (Required) *

Select the SP(s) that this POA supports:

  • SP 1 – Student Support and Success
  • SP 2 – Teaching and Learning
  • SP 3 – Diversity and Inclusive Excellence
  • SP 4 – Fiscal Operational and Infrastructure Sustainability
  • SP 5 – Campus and Community Engagement

Note: Clicking on a SP button results in a prompt to select the Core Objectives under that SP. 

  1. Core Objective(s) Supported by this goal
  • For each SP selected, be sure to click the specific CO(s) that this POA supports.
  • E.G., Your POA may support both SP 1 and SP 3.  For SP 1, it may support CO 1.1 and 1.2.  For SP 3, it may support CO 3.3.

  1. Goal # *

Enter a POA Goal Number using the following Naming Convention: 

  • “Unit Name-Academic Year- (yy/yy)-Goal Number (Please do not duplicate)”
    • Examples: IRP-24/25-Goal 1, CampusSafety-24/25-Goal1, Access&Accom-24/25-Goal1, SSC-24/25-Goal1, etc.
  1. Goal Name *

Brief descriptive name of this POA Goal

  • e.g., “Business Process Documentation” would be a Goal Name for Goal # “IRP-2024-25-Goal 1”.
  1. Goal Formula and Goal Statement: Draft your POA goal statement(s) in a separate document before plugging it into the Formula fields. 

Note: This formula box serves as an optional guide to help you create your Goal Statement. While your Goal Statement may be worded differently, it must contain the 5 key components from the formula box below.

  1. Fill out each Formula field in Goal Formula. Future edits to the wording of your POA Goal can be made directly in the Goal Statement Box. The purpose of the Goal Formula Box is to help you successfully write a goal by considering key components.

  3. Goal Statement (text) Box:
    1. NOTE: Please use the Goal Formula box as a guide to creating your Goal Statement. While your Goal Statement may be formatted differently, it must contain the 5 elements (Date, Effort, Number, Outcome, and Proof).

Following is an example of how the formula fields combine into a sentence:

  • POA Goal Formula Statement: “By [COMPLETION DATE], as a result of [EFFORT/ACTIVITY], [DESIRED NUMBER] will [OUTCOME/IMPACT] as documented by [PROOF].
     
  • Here is the goal statement entered in the screenshot above with the formula fields color-coded:
    • By July 2, 2021 [Date], as a result of outreach and training (individually and in small groups) for GCC unit leaders tasked with managing Unit Plans of Achievement [Effort], all 2020-21 Unit Plans of Achievement (N=42) [Number] will be entered and managed in GCC Planning [Outcome] as documented in three GCC Planning Tri Annual Summary Reports (College-Wide Level) produced by the IRP Office [Proof].”

The key is to focus on what you hope will happen as a result of the effort (the outcome). The outcome should be measurable/quantifiable (the number/measure).  The proof will tell if the effort resulted in achievement of the measurable outcome. Select the status of this POA goal:

  • Not Started
  • In Progress – On Schedule
  • In Progress – Behind Schedule
  • Postponed/Waiting on Others
  • Completed
  • Cancelled
  1. November Progress Status (1-2 summary paragraphs – plain text only):

You are presented with a box where you can either click to upload desired file(s) – OR – You can drag and drop desired files into the presented upload box.

  1. February Progress StatusSame as instructions above for November Progress Status

  3. Annual Summary Statement for President’s “Year in Review” Statement 

Once you have completed working on this goal or by August 1st, summarize if it met the outcome you specified and had the impact you expected. Consider the impact that this goal had on its related SP(s) and CO(s). If applicable, summarize any next steps as they relate to this POA Goal. Information reported here is used by the President’s Office for their Strategic Plan “Year in Review” Report which is submitted to SUNY. 

  1. In order to be included in the President’s Annual Report it must be entered by August 1st or at the completion of the goal prior to August 1st.
  2. Annual Summary Statement entries should be a brief summary statement (1-2 text paragraphs, limited to 1,000 characters). Any tables, images, complex data or supplemental data must be attached using the File Upload option found at the end of the POA Goals form.
  3. Prior President’s “Year in Review” Reports can be found on myGCC by visiting the Planning tab on myGCC Institutional Effectiveness.

  1. *IMPORTANT* On Sept 30th of each year, all prior year POA Goals will be archived and will no longer be available for editing.

Updating/Editing POA Goals

  1. Hover your cursor over menu item “POA Goals”.
  2. A dropdown list of selection items will appear. 
  3. Click on dropdown entry “View/Edit My POA Goals

  1. You will be taken to a dashboard of POA Goals you have entered where you have an Action option to Edit the goal. Remember ONLY the person who entered the goal, the POA Owner, can edit that goal.
    1. NOTE:  The screenshot below was from a test goal entered to provide a sample.

  1. In the “Action” column, you will see the “Edit” option. By clicking here, the goal will open, and you can make desired edits.

If you get lost within GCCPlanning

  1. If you get lost within GCCPlanning, you can return to the GCCPlanning Landing Page by clicking on “Genesee Community College” in the black toolbar.
