How Do I Request AV Services for an Event?

1. The event's coordinator must contact the GCC Events Office to make event arrangements.  events@genesee.edu 

2. Watch for an email with a link to a Microsoft Forms document, requesting details about the AV aspects of your event.  Complete and submit the form as soon as possible.

3. The Media and Academic Technologies Services (MATS) team will reach out to discuss the submitted AV aspects form and obtain any additional needed information.  Together, we will develop a collaborative plan to deliver a successful and positive AV experience for all participants.  MATS also will request a copy of your agenda and, for more complex events, a copy of an event layout/diagram.

4. MATS will provide the event coordinator with an Pre-Event AV Checklist and Tips document prior to the event.  Please review this document and complete the requested tasks prior to the start of your event.

5. MATS highly recommends that an event coordinator arrange for all presenters and participants utilizing any AV technology--- GCC-owned or non-GCC-owned) to conduct a complete on-site test-run of all AV (e.g., hardware, systems, ancillary devices, presentations, links to online resources, online resources, embedded content) at least one hour prior to event start time.  For more complex events, MATS will schedule with the event coordinator at least one on-site pre-event AV check.

5. Event coordinator is responsible for informing all their presenters and participants of the following:

  • Any non-GCC person who plans to use Microsoft 365 software on a GCC-owned computer is responsible for providing and using their own Microsoft login credentials.  Set up a free Microsoft account here: Create your Microsoft account
  • Any non-GCC person who plans to use a GCC-owned computer will need to obtain temporary guest login credentials, which will be arranged on your behalf by the MATS department.
  • Where available, an HDMI cable is provided to connect a laptop or other ancillary device.  If needed, users are required to provide a connection adapter that will accept the HDMI cable (male).
  • GCC MATS and ITS staff will attempt to assist users of non-GCC hardware and applications experiencing technical problems, but they are expressly prohibited from attempting any repair or remediation work on their own.
  • Notify events@genesee.edu and mats@genesee.edu at least 24 hours in advance of any changes to your event.  Every effort will be made to accommodate changes, but circumstances may limit or present our ability.
