Faculty Overview: End-of-Term Course Evaluation Survey Process at GCC

Summary

Brief faculty review of the end-of-term course evaluations process at GCC.

Before You Start

Student feedback is an important part of continuous improvement at GCC. Course evaluation surveys are offered at the section level at the end of each term. But each term, the respective Area Deans decide based on varying factors which sections will offer these surveys. To avoid student and faculty confusion and frustration it's important to understand how the course evaluation surveys are administered.

Steps 

Overview of End-of-Term Course Evaluations Surveys at GCC

The software tool being used at GCC for Course Evaluations is Anthology. The Institutional Research and Planning (IRP) Office manages the Anthology tool from which Course Evaluations surveys are administered at the course section level at the end of each term.

  • At the end of each term:
    • Faculty teaching course sections where surveys are being offered will receive notification and reminders in their GCC Email account.
    • Students in course sections where surveys are being offered will receive notification and reminders in their GCC Email account.
    • These emails contain the selected course section information and links to the tool.
    • Each term, the survey window opens, two to three weeks before the last day of class. 
    • Each term, the survey window closes at 11:59pm on the last day of class.
      • After the survey closes, any student's survey still in available or pending status is changed to a missed status and that survey can no longer be taken.
  • Faculty cannot see who submitted what survey results and ratings are provided in aggregate form.
  • The course evaluation survey questions are approved by Academic Senate and loaded into the Anthology tool.

GCC Email Notifications and Reminders

  • All faculty teaching sections targeted to receive Course Evaluation surveys will receive:
    • A pre-survey announcement email sent about seven days before the survey opens. Faculty can review the course and student list contained within the email and notify the IRP Office of any questions or issues.
    • Reminder emails sent on the survey open date then every five days until the survey closes on the last day of class asking the faculty member to remind students who have not done so to please complete their surveys.
    • A notification email that survey results are available to faculty which is sent a week to ten days after grades are due that term. Two reminder emails are subsequently sent to faculty who have not yet opened their survey results.
  • All students in sections targeted to receive Course Evaluation surveys will receive an initial notification in their GCC email asking them to take a few minutes to complete their survey.
    • The notification email is sent on the day that survey administration opens.
    • Reminders to complete their surveys are sent to all students who have not yet completed their surveys every four days until the survey closes on the last day of class.

Not all course sections offer course evaluation surveys when they run!

The respective Area Deans decide, based on varied factors, which course sections will receive course evaluation surveys each term.

  • It is possible for a course section taught by one faculty member to be surveyed while another course section taught by a different faculty member may not be surveyed.

Ways to Increase Student Completion of Surveys

  • Remember that students can only submit these surveys IF the course section you are teaching has been flagged for survey completion! You will receive GCC email notices on these course sections as will your students.
  • Faculty's direct encouragement to their students to complete these surveys offers the best outcome.
  • If possible, make time in your class where students can use their mobile devices or laptops to complete the surveys. 

Accessing the Course Evaluations Tool

Faculty will find a link to the tool from the myGCC > Faculty tab or within the GCC email notification and reminder emails they receive.

Any faculty member who has ever taught a course section flagged for course evaluation surveys or who has been a GCC student in a course section flagged for surveys can log into the tool at any time.

Navigating and Using the Course Evaluations Tool

Once logged in, the faculty landing page is their "My Reports" page. From the toolbar menu items you can navigate between: Home, Surveys, Reports, Help, and Exit (log out).

What you are presented with from these menus will vary on your role at GCC, whether you have had courses evaluated in the past by students, whether you were a student in a course that was evaluated, etc. Check out your menu options and if you have any questions, please reach out the Institutional Research and Planning Office at IR@genesee.edu.

"Home" Menu Item

The Home menu item presents your landing page and will list available reports.

"Surveys" and "Reports" Menu Items

The drop-down selections you see here are based on your interface with Course Evaluations. This includes your role at GCC, if you have been a faculty member teaching a course that was flagged for survey completion, as well as if you have been a student here taking a course flagged for survey completion. Below are two examples:

  • My Course Surveys
    • From here you will see a list of your course sections that are open for your students to submit their surveys.
    • Column Status Rcv/Exp shows you a count of how many student surveys have been received/completed out of the total number of surveys expected for that section.
    • Columns Open and Close show your the surveys open and close date and time.
    • Column Preview Survey lets you view the survey questions.
  • Course Section Reports
    • Here you are presented with a list of course sections where you can view survey results information. General information is provided in the section row.
    • Click on the INCLUDE box for each course section row you want included in a report. Above the Course Section Reports you can click choose to click buttons to VIEW, create a PDF, or Print a report of the selected section(s).

"Help" Menu Item

From the Help menu, there is one drop-down, Site Features. From here you can review a tutorial of product features though some are not available with our installation.

“Exit” Menu Item (log out)

To log out of Course Evaluations, click on Exit menu item.

What do students see

Students will find a link to the tool from the myGCC > Student tab or within the GCC email notification and reminder emails they receive. Once logged in, they can:

  • see if they have any active surveys available/pending completion
  • see if they completed any past surveys
  • see if they missed any past surveys (surveys that closed before they were completed)
