Generating reports from GCCPlanning

Summary

Brief review of how to generate reports from GCCPlanning, a Strategic Plan Goal Management Tool, used for identifying, tracking, and reporting goal efforts supporting GCC's Strategic Plan.

Before You Start

NOTE: Everyone can access the GCCPlanning site to see and generate reports. But unless a user has credentials, they cannot make any changes, enter goals, or access any documents uploaded into the system.

Steps 

Choose an Available Report

From the GCCPlanning landing page, click on the Reports menu dropdown and choose from three selections:

  1. Campus Wide POA Goals
    1. This view allows you to see POA entries for the current Strategic Plan (e.g., 2023-2028) based on selections made (e.g., Academic Year, Division, Unit, Strategic Priority (SP), Core Objective (CO), etc.)
  2. Collaborative Goals Report
    1. This view allows you to see Collaborative (cross-functional) Goals entries worked on through the Administrative Assessment Committee
  3. Archived POAs
    1. These views allow you to see goal reports from prior Strategic Plans (e.g., 2020-2023, 2018-2020)

Choose Report Selectors

  1. The top section of a report view provides a set of selectors allowing you to limit results to specific Academic Years, Divisions, Units, SPs, COs, etc.  By default, ALL goals within the default Academic Year are displayed in the table.
  2. Decide how you want to limit your results table/report using the selectors presented.

    2. Academic Year
    3. Division
    4. Clicking on a Division results in a prompt to select your Unit/Office from the list of units under that Division. 
      1. If Unit/Office of Campus Centers is selected from the Academic Affairs Division, another prompt appears where you can select from the specific Campus Centers.  All Campus Center Locations are included in the results table UNLESS you specifically use one or more check boxes to limit results.
    5. Strategic Priority
      1. If a SP is selected, another prompt appears where you can select from the specific Core Objectives.
    6. Start Date
    7. End Date
  3. After making your desired selections, you must click the Submit button. If you do NOT click the Submit button your selections will not be processed!
  4. Note: To quickly find something in the results table, you can enter text in the Search box at the top of the report view and click on its Search button.

Choose fields you want included in your results table/report

Under the Submit button you can choose to Check boxes to remove columns from your results table/report. By default, none of the columns/fields are checked so they will all be included in the results table/report.

  1. As you review the list of fields, you would Check Boxes of any fields you are not interested in seeing in the results table.

  2. As you toggle (check and uncheck) boxes you will see those fields added/removed from the results table/report.
  3. Once you’ve made your desired check box selections, you can choose to review or export the results table/report to CSV.

Export Report to CSV

When you are ready to export the table/report being presented, click the Export to CSV button.

  1. Exporting to CSV from GCCPlanning may present some issues.
    1. When opening the exported results file, you may get following MS Excel pop-up warning that the format and extension don’t match. This is because we are exporting from a web form to a CSV file that on many computers is set to open in Excel. Proceed to click YES on this pop-up.

  2. Proceed to open the exported file and to a File > Save-As
  3. Note that the downloaded file is coming in with the “Save as type” defaulting to “Web page (*.htm,*.html)” because it is coming in from a web form.

  4. You can change the filename and may want to add the date of the download to the filename (e.g., xxxxx-yyyy-mm-dd.xlsx)
  5. Be sure to change the “Save as type” to Excel (.xls or .xlsx)!
  6. Save the file to your desired location.
  7. Please note, on the report view, above the file check boxes, there is also a clickable link Click Here for help exporting to CSV option that provides the assistance detailed above. While the linked help specifies the Campus Wide Report those steps apply to any GCCPlanning report you are exporting to CSV.

  8. If you encounter formatting issues with your exported file and need help, email GCCPlanning@genesee.edu.

If you get lost within GCCPlanning

  1. If you get lost within GCCPlanning, you can return to the GCCPlanning Landing Page by clicking on “Genesee Community College” in the black toolbar.
