MATS How to Create a Teams Meeting - 3 Methods

Summary

There are many ways to meet on Teams, and some recent additions have allowed for more instant or floating meetings. This is a guide on the ways that you can create and locate a Teams meeting.

Before You Start

  • All GCC staff, faculty, and students have access to Teams with their GCC email.
  • Teams is installed on GCC-owned computers, though it can also be accessed from a web browser.
  • There is a Teams mobile app available for Android and IOS.

Steps 

  1. Using the Calendar tab on Teams
     
    1.  Either open the Teams application on your computer by searching in the bar at the bottom of the screen, or open teams.microsoft.com in a web browser.
       
    2. If using a web browser, log in with your GCC email and password.
       
    3. On the left sidebar, click "Calendar". It includes an icon of a calendar.

    4. In the upper right corner, you will see three options:
       
      1. "Join with an ID" allows you to enter a Meeting ID, included in meeting invites, to join an existing Teams Meeting. Most times, you will join a meeting by link, but there may be times where a Meeting ID is easier or faster.

      2. "Meet Now" Allows you to quickly share a link and start a meeting. This is useful for drop-in appointments or impromptu meetings.

      3. "New Meeting" opens up a scheduling window similar to Outlook, where you can set invited attendees, schedule a time, and use the Scheduling Assistant to identify overlapping free times between attendees. The carrot to the right side of "New Meeting" will let you select different meeting presets for class, presentations, and other types of meeting.

  2. Using the Calendar scheduling tool in Outlook or Teams
     
    1. Open either Outlook or Teams, and click on the calendar icon in the left sidebar.
       
    2. Click on "New Meeting" in Outlook, or in Teams, click on a time that does not have any meetings, then "More options" in the new pop-up window.
       
    3. In the Meeting Scheduling tool, you can click or toggle "Teams Meeting", which will automatically create a Teams Meeting. When clicked in Outlook, this button changes to "Join Teams Meeting".

  3. Instant meeting from Chat or Team
     
    1. While a chat or Team is pulled up, use the camera icon or "Meet Now" button on the top right to start an instant meeting. A button to join the meeting will appear in the current Chat or Teams channel you have open, accessible to all members with Teams accounts.
       
    2. If you click the carrot to the right of the camera icon in a Teams channel, you can schedule a meeting with Team members. In a chat, click the three dots further right to schedule a meeting.
