Save Teams Meetings to One Drive and Panopto

Summary

This document identifies how to configure your MS Teams account to automatically direct recorded MS Teams meetings to ingest into your Panopto library.  It also identifies where else these recordings are housed.

Before You Start

What you need to know or have access to prior to saving a Teams Meeting:

  1. All GCC faculty and staff should have a GCC-issued account and One Drive.  If you are unsure or have questions, request Account Access help.
  2. All GCC faculty and staff have a Panopto video library account.  Visit https://genesee.hosted.panopto.com and, if prompted, log in with your GCC credentials.  Click the My Files button, then look for recordings in the Meeting Recordings folder.
  3. Teams allows you to initiate two types of Meetings, which may be recorded: Within a team's channel, within your "personal" area of Teams (e.g., via the Calendar).

Steps

  1. You need to add the Panopto app to Teams- for your “personal” Team Meeting area as well as to any channels (teams).  You then need to authenticate (one-time process).  Follow steps in this Panopto document.  https://support.panopto.com/s/article/How-to-Enable-the-MS-Teams-Integration#hTargetInstance2

  2. There are two types of Teams meetings:

    • Personal meetings are those you initiate through your Calendar app within Teams—see upper right corner.  Also, when you create a Teams meeting within your Outlook email account, these also are Personal meetings.  Again, recordings of these meetings will appear in your One Drive in a folder called Recordings.

    • Team/Channel meetings are those you initiate within a Team or Channel with the Teams application.  For instance, if you click the General tab in the ABC Channel that you are a member of and click to start a Meeting, then you are initiating a Team/Channel meeting.  Recordings of these meetings will appear in that Channel’s files and a notice of the recording will appear in that Channel’s posts.Your

  3. Personal Teams meeting will automatically ingest to your Panopto library.  Visit https://genesee.hosted.panopto.com and log in using your GCC login credentials, if prompted.

  4. Click on the My Folder icon on the left navigation bar.  You likely will need to click on the sub-folder called Meeting Recordings to locate your video.

  5. The length of your recording will determine how long it takes to ingest into Panopto, so for a recording of a 60-minute class session, it may take the system upwards of an hour to ingest.

Troubleshooting:

  • ITS recommends that you conduct a couple of test recordings of Teams meetings in your Personal and Team/Channel spaces to ensure that all is functioning properly

  • Be sure you have connected the Panopto app to your Personal and Team/Channel spaces before attempting a recording

  • Only one user at a time can connect to Panopto on behalf of a Team. Recordings automatically ingest to their account, and will not switch unless manually changed or in the case of account deletion

  • All Personal Teams meetings are automatically stored in the Recordings folder in your One Drive, so consider this a back-up if something goes wrong with the recording ingesting to your Panopto library

  • Like Zoom, Panopto does not upload from Teams immediately after a meeting has ended, but instead pulls all recordings at regular intervals. If you have just ended a meeting and don’t see your upload, wait 30-40 minutes and check again
